General Position Summary

Administrative Associate oversees facilities and office management functions at the site and ensures compliance with Mercy Corps field relevant policies and procedures, with substantive support from the Head of Operations. The Administrative Associate will be responsible for all support functions related to Kathmandu office general administration, front desk management, fleet management, transport management, air ticketing, accommodation, payments, VDA for FP3 ProSource and logistics management. This will include Kathmandu office and houses lease administration, coordination for travel and accommodation arrangements for staff, supporting arrangements for training, workshops, meetings, and general day to day administrative in terms of property and equipment maintenance and repairs.  

As gender and social inclusion (GESI) is cross-cutting and core components of all Mercy Corps programs, the Administrative Associate is required to own these components and ensure GESI sensitivity and integration into his/her work area.

Knowledge and Experience 

  • Must have knowledge and experience in FP3 for ProSource, (Procurement Requisition and Vendor Data Administrative.
  • Must have knowledge in managing and handling front desk.  
  • Must have knowledge of digital tools, technologies, and software for documentation. 
  • At least Bachelor ’s degree and minimum 2 years’ working experience with office administration or facilities management with I/NGO. 
  • Ability to work effectively with an ethnically diverse team in a sensitive environment. 
  • A clear understanding of procurement ethics and donor compliance is essential. 
  • Organizational skills and demonstrated ability to multi-task and process information into action so as to not delay program activities. 
  • Demonstrated attention to detail, ability to follow procedures, meet deadlines and work independently and cooperatively with team members. 
  • Excellent oral and written English skills and ability to interact effectively with international and national personnel. 
  • Excellent analytical and self-motivation skills; excellent advocacy and persuasion skills; able to think critically.
