The Finance and Admin Officer is responsible for:
- Review and check all the financial documents, invoices, agreements, and other supporting documents to ensure it is compliance with organizational policy as well as donor compliance.
- Track activity level budgets and report to the concerned authority.
- Payment of staff salaries ensuring that all required statutory deductions are made and subsequently paid to the appropriate authorities on time.
- Prepare financial report as per donor standard on periodic basis.
- Prepare minutes and other correspondences related to the procurement and staffs’ meetings.
- Monitor budget and shared the relevant information to the program coordinator and Finance manager in timely manner.
- Prepare and submit monthly TDS, E- TDS and report to Inland Revenue Office on timely manner.
- Support project coordinators/mangers to prepare budget and budge revision.
- Perform month-end closing procedures, including overhead allocations, account reconciliations, and updating schedules.
- Manage bank accounts (record receipts and payments, keep and carry out monthly bank reconciliations)
- Conduct and schedule internal and external audit.
- Responsible for administering office supplies for project field implementation with executing proper accounting and administration principles and documentation practices as per statutory compliances.
- Prepare cash flow forecasts, acquittals and monthly financial statements and spreadsheets for RDC Nepal including day to day journal voucher and maintain transaction ledger and their reconciliation.
- Liaise with field staff to provide assistance with travel and budget preparations.
- Assist with the coordination of workshops and meetings in the office regarding the project.
- Provide necessary solution and justification to any management concerns raised by donor or management related to financial management.
- Ensure effective documentation (soft copy and hard copy both) including record of partnership agreement, approved budgets email communication, meeting minutes, financial/audit reports and tender files. .
- safeguard staff leave records, daily attendance sheet, timesheet, contracts, appraisal, personal files and other official records.
- Ensure the bills related with utilities (Electricity and water) supplies are cleared in time.
- Arrange logistics support for seminar, training and field missions.
- Provide necessary logistics arrangements (purchase of supplies, air tickets, vehicle hire, hotel services, meeting arrangements, etc.)
- Ensure proper maintain of vehicle log book.
- Maintain updated inventory records, also ensure all assets and office equipment are in good working conditions. Carry necessary and periodic maintenance works in timely manner.
- Maintain glorious and healthy relation within team, and other stakeholders.

- Represent organization at appropriate conferences, seminars and other events.
- Act as focal communication point for administration and finance related expense settlement and payment for internal and external contacts.
- Manage assets & inventory and conduct physical verification as per required.
- Any other task as assigned by supervisor relevant to reasonable level of work balance.
